Rules

  1. GENERAL INFORMATION

The numbered terms and conditions stated hereby contain words with the following meaning:

1) The term «ATHLETES» refers to the competitors who have registered officially and participate in any of the races of the LESVOS TRAIL 2024.

2) The term «ORGANIZERS» refers to The Molyvos Tourism Association and to the cooperating local institutions and associations which are participating in the organization of the event

3) The term “RACE COMMITTEES” refers to the three Committees in charge of the implementation of the races and are responsible for the decision-makings regarding the sporting event.

 

SPORTING EVENTS:

Trail A’: LESVOS TRAIL 15 km

DATE: Sunday 26.05.2024 – STARTING TIME 10:00 am

Trail B’: LEPETYMNOS RUN 6 km

Trail C’: LEPETYMNOS RUN KIDS 1 km

DATE: Sunday 26.05.2024 – STARTING TIME: 10:30 am

LOCATION: LEPETYMNOS

ROUTE: LEPETYMNOS SQUARE, INTO THE VILLAGE

Athlete Categories:

Boys: 7-10 years old

Girls: 7-10 years old

Boys: 11-12 years old

Girls: 11-12 years old

 

  1. ΑCCEPTANCE OF TERMS and CONDITIONS

By registering, the participants accept and respect the regulation terms of the race, comply with the instructions of the Organizing Committee, the security managers and the judges. Moreover, the participants are aware that they will be racing in a mountainous and rutty area and they will be exposed to the weather conditions of the area on the day of the event.

 

  1. ENTITLEMENT TO PARTICIPATION
  • In the LESVOS TRAIL 15 km only men and women over 18 years of age are entitled to participate.
  • In the LEPETYMNOS RUN 6 km, only men and women over 18 years of age are entitled to participate.
  • In the LEPETYMNOS RUN KIDS 1 km, children aged 7-12 years old are entitled to participate (with the written consent of their parents).

 

  1. ENROLLMENT PROCEDURE  

The enrollment procedure is as following:

Fill in the on-line registration form with all the information required and choose the race which you would like to participate in.

  • LESVOS TRAIL 15 km
  • LEPETYMNOS RUN 6 km
  • LEPETYMNOS RUN KIDS 1 km

With the completion of the enrollment form, the participant agrees to the terms and conditions concerning the six trails of the “LESVOS TRAIL 2024” sporting event.

Young adults aged 15-17 and children aged 7-14 must have the written consent of their parent/ guardian. The Personal Statement which the parent/ guardian must sign may be downloaded from the website and must be handed in to the Secretariat of the event, where they may also receive their race number, one hour prior to the start of the race in which they are participating in.

 

  1. PARTICIPATION FEES

Τhe participation fees for the trails are as follows:

Trail Α’: LESVOSTRAIL 15 km– MAIN COURSE

Participation costs:

20 Euros including the available race products for all athletes who register until 12.05.2024,

25 Euros for all athletes who register from 13.05.2024 to 19.05.2024,

Registration Gifts: Race number, catering at course stations, commemorative certificate of participation (will be sent electronically), commemorative gift of the sporting event, race T-shirt, participation in the award ceremony which will have a small buffet at the end of the races.

Athletes will be informed about the routes of the race electronically via a video presentation which will be sent to the email address of the participants and may also be found on the Lesvostrail website as well as on the Lesvostrail Facebook page. A brief information sessions will also take place 10minutes prior to the start of the race.

 

Trail Β’: LEPETYMNOS RUN 6 km

For the 6 km trail, participation costs are as follows:

10 Euros including the available race products for all athletes who register until 12.05.2024,

15 Euros for all athletes who register from 13.05.2024 to 19.05.2024,

Registration Gifts: Race number, catering at course stations, commemorative certificate of participation (will be sent electronically), and commemorative gift of the sporting event, race T-shirt, participation in the award ceremony which will have a small buffet at the end of the races.

Athletes will be informed about the routes of the race electronically via a video presentation which will be sent to the email address of the participants and may also be found on the Lesvostrail website as well as on the Lesvostrail Facebook page. Trail C’: LEPETYMNOS RUN KIDS 1 km

There are no participation fees. However, in order for participants to participate and to receive a registration number and certificate of participation (which will be sent electronically), they are required to have registered electronically by 30.04.2024.

For the LEPETYMNOS RUN KIDS all participating children must be accompanied by a parent and a signed Personal Statement must be be handed in to the Secretariate (a copy of the declaration form may be found on the site).

All children who have registered by 30.04.2024 will be given a commemorative gift of the sporting event. Following 30.04.2024, remaining gifts will be given depending on availability. All athletes may take part in the event following the award ceremony during which a small buffet will be offered.

 

  1. REGISTRATION – METHODS OF PAYMENT – CONFIRMATION OF PARTICIPATION

Payment for all trails of the LESVOS TRAIL 2024 which require a participation fee or a package upgrade must be made via a money deposit into one of the following bank accounts with beneficiary “THE MOLYVOS TOURISM ASSOCIATION” (VAT.no.800226525)

Payment may be made also via CREDIT CARD or DEBIT CARD (further information can be found online on the enrollment form).

Please note that the payment should take place within 10 days after registering on the electronic monitoring system in order for the registration to be considered valid.

In case of a money deposit to one of the above mentioned bank accounts, the full name of the participant should be stated in the “Purpose of payment” field. A confirmation regarding the receipt of payment shall be sent via e-mail to the registrant from the Organizers. The deposit in itself is considered proof of payment and presentation of a payment receipt is not required.

 

  1. SERVICES

Participants registering for the races will have access to all the services provided by the Organizers of the sporting event. Each athlete is entitled to a race number, catering for athletes provided at the various stations set up along the routes, a certificate of participation and official timing. Medical, First Aid and rescue services are also provided for the LESVOS TRAIL 2024 (a full description may be found in the race packet).

At the finishing point of the trail LESVOS TRAIL 2024, medical services are available to anyone as well as at each of the stations throughout the race.

Transfer to the finish line is provided for those participants who might quit or be excluded from the race. Athletes will be picked up from the determined pick up points (see map of trail). In case an athlete decides to quit the race, he/she must come to the closest pick up point, from where transfer to the finish line will be provided. Otherwise the organizers of the event cannot be held responsible for the transfer of athletes who quit, even though they will do their best to provide assistance.

 

  1. TIMING

The final placement of the participants is determined by the electronic timing system of the event that has been chosen by the organizers and may not be questioned. Under no circumstances will double medals for the athletes who finish the race together be given. The only placement criterion will be the valid crossing of the finish line.

 

  1. SUNDAY RACES 26.05.2024

On Sunday 26.05.2024, the races will start from the main square of Lepetymnos.

The main race, LESVOS TRAIL 15 km will start at 10:00 am.

The LEPETYMNOS RUN 6 km will start at 10:00 am, too.

The LEPETYMNOS RUN KIDS 1 km will start at 10:30 am.

The races will finish at 13:00 pm.

After the end of the races will be the award ceremony and at the finish line area there will be various events as well as food and refreshments for all the athletes.

The trails take place upon a variety of landscapes, hiking routes and forest roads. All routes-trails are depicted using either permanent or temporary signs in order to facilitate the race.

Furthermore, information will be shared through the social network of the institutions participating in the organization of the event. Changes, additions or explanations will be given via the above mentioned websites and social networks.

 

  1. LESVOS TRAIL 15 km

Particularly regarding the LESVOS TRAIL 15 km, at the elimination point, situated in the catering and control station LEPETYMNOS (at the 6 km point of the course), the athletes will be stopped by the judge and their race number will be removed in the case that their running time is over 50 minutes. This is done for their own protection due to the remaining part of the course which is difficult and tedious terrain. The elimination times are the same for all categories, ages, and gender for this specific trail. After the above mentioned time limit of the race has been reached, the judges at the checkpoints will stop timing the athletes. The athletes who do not abide by the instructions of the judges and wish to continue the race, may do so under their own responsibility, after having handed in their race number. From this point on, the athletes will be considered as disqualified. The organizers are not responsible from that point on for the personal safety of the athletes. According to the registration form completed by each athlete, it is assumed that the athlete has declared that they do not hold the organization committee responsible for anything which may happen to themselves from the moment of their disqualification and onwards. Also, the organizing committee may decide that if the athlete does not accept to turn in his number and continues upon the route, they may exclude him/her from any future LESVOS TRAIL sporting events.

Finally, in order for a termination to be valid, it should be done within the timeframes mentioned above, for both men and women, of all categories. Those athletes who finish late will be presented in official results as DNF “having abandoned the race” .

 

  1. RACE NUMBER OF ATHLETE

Each athlete must wear his/her race number on his/her chest throughout the race and it should be visible at all times. If athletes damage the information contained on the race number (number, logo) or fold it, creating confusion to the members of the checkpoints, they will be disqualified. Should the participants lose their race number, they will also be disqualified.

The race number is provided by the race committee to the athletes, who must personally receive their number by providing a valid identification document.

For athletes participating in the LESVOS TRAIL 15 km and the LEPETIMNOS RUN 6 km, an online video presentation regarding the sporting event and the routes shall be available both on the website and Facebook page of the event and will also be sent via email to each of the registered athletes. A brief informative session will also take place 10 minutes prior to the start of the race.

Athletes participating in the LESVOS TRAIL 15 km and the LEPETIMNOS RUN 6 km may pick up their race numbers on Sunday, 26.05.2024 as well from the Secretariat, which will be stationed on the main square of Lepetymnos from 08:00 until 09:00, before the start of the race.

 

  1. ΜAXIMUM NUMBER OF PARTICIPANTS

The maximum number of participants in each event is determined by the organizers of the race, depending on the total number of participants registered. The organizers have the right to set a maximum limit during the registration period if deemed necessary.

 

  1. MOVEMENT – OVERTAKING

Athletes should run on the trails without forming large groups that prevent other athletes from overtaking. If an athlete receives a sign from another athlete who is overtaking, he/she should stay on the internal side of the slope or trail.

 

  1. ESCORTING OF ATHLETES

It is forbidden for friends, family or pets to accompany athletes on the trail. If an athlete wishes to race with a pet, the pet should be kept on a leash at all times and the athlete must follow behind the last athlete of the race. Overtaking may take place only after permission by the athlete in front of him/her is granted.

 

  1. ASSISTANCE

External assistance or technical aid among athletes is forbidden, as well as the use of any mechanic devices. The use of sticks, maps, compasses, GPS and mobile phones is allowed.

 

  1. RUBBISH

Especially for the route of the LESVOS TRAIL 15 km, athletes are obliged to have their personal number written on all food packages carried along with them, as instructed during the orientation.

It is strictly forbidden to throw any garbage along any of the trails. Rubbish bins will be located at all control and catering stations so athletes are advised to throw litter in the allocated bins. Not doing so may lead to their disqualification.

 

 

 

  1. CATERING POINTS

For the runners of the trail LESVOS TRAIL 15 km, there will be 3 catering stations for the distribution of water as described in the attached chart.

For the runners of the trail LEPETIMNOS RUN 6 km, there will be 1 catering stations for the distribution of water as described in the attached chart.

For all the other trails, athletes, depending on their own personal needs, are requested to bring their own food and water which they consider necessary to complete the race.

 

  1. COMPULSORY EQUIPMENT

The athletes participating are not obliged by the organizers of the event to be equipped in any particular way.

Especially though for the trail LESVOS TRAIL 15 km, and LEPETIMNOS RUN 6 km, it is recommended that athletes should carry a mobile phone, a small waist or backpack with some essential equipment such as sunglasses, caps, flasks, windbreaker, solid food of choice, in order to cover any needs athletes may have between the catering stations.

Each athlete is responsible for their choice of items they carry (cup, hydration flask, bottle, thermos flask, etc.) in order to be supplied with water and fluids provided.

Water and fluids will be provided by the catering stations. In order to refill empty bottles as quickly as possible, the athletes should have flasks with large openings.

The use of hydro-packs, backpacks or waist bags is allowed. Disposal of such sets along the trail or at the refreshment points is under the responsibility of the athlete.

 

  1. CHECK POINTS

The athletes are obliged to have their number in a visible place, so that the judges – team leaders can record them.

In the event that an athlete wears a windproof jacket, he must show his number when arriving at the Control Station. Refusal to display the number means disqualification. Any athlete who does not pass even one control station is considered invalid. The control points as shown on the map are also safety points and bear the relevant markings, for athletes to report any injury or need for assistance.

 

  1. OBJECTIONS

Any objections can be declared only by the athletes themselves, a maximum of 30 minutes after the end of their race, at a cost of 50 Euros. Each objection should be provided in written form to the Secretariat of the race. The Objections Committee is composed of the Head of the Judges, the Head of the Organizing Committee and the Head of the check point stations of the area where the particular issue was raised. The final judgment of the Objections Committee is presented at the latest, immediately prior to the award ceremony and is final.

 

 

  1. SAFETY

Please note that all athletes participate in the race at their own risk and must have signed the Personal Statement of Participation which must be activated during their registration process on the on-line registrations system. The Organizing committee monitors the trails as much as possible in order to prevent any inconveniences and provides medical assistance to athletes who may need it, with the help of the Medical Team and other volunteers such as the Lesvos Rescue Team.

In case the security team or the judges suggest that the athletes should change any route for safety reasons, the athletes are obliged to follow their instructions. Denial to do so will lead to disqualification.

At the Control Points which have been marked accordingly, there will be medical help from specialized medical staff that will handle any issues that the athletes may have. A Doctor in charge will be present, as well as a group of volunteer doctors which will be assigned by the Organizing committee.

If a Doctor decides that the condition of an athlete does not allow him to proceed with the race, the athlete should hand in his/her race number, should not proceed further and should follow the Doctor’s advice.

At all the check points, the athletes may report any medical issues and at some check points a first aid kit for minor injuries is available and first aid is provided.

The organizers of the race have arranged a team of safety volunteers and a rescue team to be available.

 

  1. CHANGES -ALTERATIONS OF THE TRAILS

The Organizing Committee together with the Judges Committee may decide to make changes in the course of the race if it is considered that the safety of the athletes is jeopardized in any way.

They may also decide to postpone the starting time, postpone or cancel the event entirely due to bad weather conditions or force majeure.

In all cases any changes-alterations will be communicated through the official event website www.lesvostrail.eu the day before the event or through announcements during the day of the event. Any change considered necessary by the Organizing Committee is not to be questioned.

 

  1. COMPLIANCE

Athletes must comply to the rules mentioned in this document at all times. They are also obliged to follow the instructions of the judges. Failure to do so will lead to disqualification. If the judges see athletes who do not comply to the event rules, they shall record them and report them to the athletes involved. Any person authorized by the Organizers can also record and report any transgression of the athletes.

 

  1. PUNISHMENTS

The below mentioned transgressions of the rules lead to disqualification:

  • Not showing or damaging the race number.
  • Accepting assistance from persons who are external to the race.
  • Use of mechanical means of transportation.
  • Throwing rubbish.
  • Obstruction of another athlete or unsportsmanlike behavior.
  • Not complying with the instructions of the judges.
  • Improper behavior towards the Organizing Committee, judges, volunteers, etc.
  • Abandoning a fellow athlete in need of assistance and asking for help or omission to inform judges
  • Not registering at a check point.
  • Use of forbidden substances or drugs.
  • Denial to be checked up by the Doctor of the event at any time deemed necessary
  • Quitting the race and omission to report this to the judges or to the check point attendants will
  • Taking shortcuts

Any other improper behavior will lead to punishments accordingly or to disqualification from any future participation in any LESVOS TRAIL 2024 event.

 

  1. AWARDS

Awards and souvenirs from the race will be announced in the near future following arrangements made by the organizers and the sponsors of the event. They will be given to the participants and the winners of the categories, according to the placement results.

The first three athletes to place in each category of the LESVOS TRAIL 15km, the LEPETYMNOS RUN 6km, and the LEPETYMNOS RUN KIDS 1 km will each receive placement medals and all participants shall receive a certificate of participation.

All athletes who will register on line by 30.04.2023, will be given a commemorative gift. The remaining athletes who register by the week before the races will receive a commemorative gift according to availability.

 

  1. COMMERCIALS

With their registration in the race, athletes consent to be recorded and photographed during the race and award ceremonies by the organizers for advertising purposes. They are also aware that they might appear in photographs or videos without prior authorization or notice and therefore cannot claim any remuneration from any published material.

 

  1. PERSONAL DATA

The Organizers will not share the personal data of any of the athletes with third parties and the protection of personal data regulations will be respected according to the law. Respecting the moral obligation to keep personal data secret, all data will be held in a safe area in digital form.

The only information that will be shared is the name and surname of the athletes, the place of residence, the age (for the category classification) and, if provided by the athletes, any picture, personal websites and information on their athletic background.

 

  1. COMMITTEES

The event “LESVOS TRAIL 2024”, has three committees.

  • The Organizing Committee, responsible for all matters concerning the organization and management such as the system of setting the trail, the routes and timing, the monitoring of the technical requirements of the race and the monitoring system such as: the volunteers teams, the safety, the catering, the side events, the Secretariat of the race, etc. The head of the Organizing Committee will be the Technical Adviser, who will be in charge of the Monitoring, Safety and the Volunteer groups.
  • The Judges Committee which is responsible for the Athletic-Competitive character of the LESVOS TRAIL 2024, the certification of the timing and the placement of the athletes of all categories (LESVOS TRAIL 15 km – LEPETIMNOS RUN 6 km – LEPETIMNOS RUN KIDS 1 km ) according to the chosen (basic) electronic timing system. The head of the Committee will be the Technical Consultant of this specific committee called the Head Judge.
  • Τhe Objections Committee composed of the Head Judge, the Head Organizer and the check point attendant(s) where the incident to be examined has been reported.

 

  1. LIABILITY DISCLAIMER

The event organizers have the right to prevent an athlete from completing the race if a decision has been made accordingly by the Doctor of the race. The organizers are not liable for the death, injury or any other health issues of the athletes. By registering for the event, participants guarantee that they are aware of the dangers that may lie on a mountainous course and that they are sufficiently fit and healthy to participate in the event and have been recently checked by a doctor. No health certificates, however, are required and all participants are responsible for their own health conditions. The Committee is not liable for the physical integrity of the athletes who should behave in a responsible manner at all possibly difficult or dangerous points of the trail. The Organizers are not liable for any economical charges for the requirement of external help for an athlete.

 

  1. MODIFICATION OF THE RULES

The organizers hold the right to modify the present rules regarding the procedures of the event without prior notice, should it be deemed necessary. Under no circumstances will these modifications change the character of the event.
