2nd INTERNATIONAL MOUNTAIN TRAIL RUNNING RACE ON LESVOS
“LESVOSTRAIL 2017” – 01.10.2017
LESVOS TRAIL REGULATIONS

1. GENERAL INFORMATION
The numbered terms and conditions stated hereby contain words with the following meaning:
1) The term ATHLETES refers to the competitors, those who have registered officially and participate in any of the races of the LESVOSTRAIL 2017.
2) The term ORGANISATION refers to the collaboration between the Molyvos Tourism Association with local institutions participating in the organization of the event, namely the Regional Authority of the North Aegean, the MUNICIPALITY of Lesvos, ETAL A.E, the Sports Association SEGAS LESVOU, the CHAMBER of COMMERCE of LESVOS, under the auspices of the Secretary General of the Ministry for the Aegean Islands.
3) The term RACE COMMITTEES refers to the three Committees in charge of the implementation of the races and the decision-makings regarding the sporting event.

THE SPORT EVENT LESVOSTRAIL 2017, INTRODUCES THE FOLLOWING TRAILS.

Trail Α: LESVOSTRAIL
Date: Sunday 01.10.2017 – STARTING TIME: 07:30
Location: ΜΟLYVOS-EFTALOU-SKALA SYKAMINIA-SYKAMINIA-VAFIOS-MOUNTAIN RANGE OF LEPETYMNOS AND LYGONA
START FROM MOLYVOS (ALSYLIO)- SKALA SYKAMINIA-SYKAMINIA- LEPETYMNOS (VIGLA, ST. HELIAS) –VAFIOS- LIGONA-MOLYVOS (ALSYLIO) 40 Km.
Athlete Categories: Men/Women – a. 18-39 years, b. 40-49 years c. over 50.
(The limit to form a category is 10 athletes otherwise the categories will be merged)

Trail Β: LESVOSRUNNING
Date: Sunday 01.10.2017 – STARTING TIME: 10:00
Location: MOLYVOS-VAFIOS-LIGONA
START FROM MOLYVOS- (ALSYLIO) – VAFIOS-LIGONA-MOLYVOS (ALSYLIO) 18 KM
Athlete Categories: a. Teenagers (men/women) 15-18 years with signed declaration form from their parent-guardian, and Men/Women – b. 18-39 years, c. over 40.

Trail C: MOLYVOS NIGHT RUN
Date: Saturday 30.09.2017 – STARTING TIME: 19:00
START FROM MOLYVOS CONFERENCE CENTER, THROUGH THE TRADITIONAL ESTABLISHMENT, THE HISTORICAL CENTER, THE CASTLE, THE WOODS-WATER TANK REGION WITH FINISHING POINT THE MOLYVOS CONFERENCE CENTER, 8KM
Athlete Categories: Teenagers (men/women) 15-18 years with signed declaration form from their parent-guardian, and Men/Women – b. 18-39 years, c. over 40.

Trail D: LESVOSWALK
Date: Sunday 01.10.2017 – STARTING TIME: 10:00
One category “dynamic walking”, no age limits
START FROM MOLYVOS (ALSYLIO), THROUGH THE TRADITIONAL ESTABLISHMENT OF MOLYVOS UP TO THE CASTLE AND FINISHING POINT MOLYVOS (ALSYLIO), 4 KM

Trail E: LESVOSkids
Date: Sunday 01.10.2017 – STARTING TIME: 10:00
Location: MOLYVOS (ALSYLIO), 1000KM
Athlete Categories: Boys/Girls: 10-15 years.
(According to the number of participants, subcategories and race distances will be formed).

2. ΑCCEPTANCE OF TERMS and CONDITIONS
By registering, the participants accept and respect the regulation terms of the race, comply with the instructions of the Organizing Committee, the security managers and the judges. Moreover, the participants are aware that they will be racing in a mountainous and rutty area and they will be exposed to the weather conditions of the area on the day of the event.

3. ENTITLEMENT TO PARTICIPATION
Only men and women over 18 years old are entitled to participate in LESVOSTRAIL, 40 km.
Teenagers, men and women are entitled to participate in LESVOSRUNNING, 18 km.
Teenagers, men and women are entitled to participate in MOLYVOS NIGHT RUN, 8 km.
People of all ages are entitled to participate in LESVOSWALK, 4 km.
Children aged 10-15 years old are entitled to participate in LESVOSkids, 1000m.

4. ENROLLMENT PROCEDURE
The enrollment procedure is as following:
Fill in the on-line enrollment form (www.lesvostrail.eu) with all the information required and choose the trail which you would like to run on.
A. LESVOSTRAIL 40 km
B. LESVOSRUNNING 18 km
C. MOLYVOS NIGHT RUN 8km
D. LESVOSWALK 4 km
E. LESVOSkids 1000 meters

With the completion of the enrollment form, the participant agrees with the terms and conditions concerning the five trails of the LESVOSTRAIL 2017 event.

5. PARTICIPATION FEES
Τhe participation fees for the trails are as follows:
Trail Α: LESVOSTRAIL – MAIN COURSE
Participation costs 30 Euros for participants and includes the race products for all athletes who register until 10.09.2017.
For athletes who register after 10.09.2017 and by the final date of registration 28.09.2017, the race products will be provided to the athletes according to availability and priority will be given depending on the order in which athletes have registered.
For the members of Official Athletic Clubs, holders of identification card with a registration number, the fee is 25 Euros. For the discount to be provided, the athletes must have registered by the enrolment deadline, of 10.09.2016.
Trail Β: LESVOSRUNNING
For the 18km trail, participation costs 20 Euros for participants and includes the race products for all athletes who register until 10.09.2017.
For athletes who register after 10.09.2017 and by the final date of registration 28.09.2017, the race products will be provided to the athletes according to availability and priority will be given depending on the order in which athletes have registered.
For the members of Official Athletic Clubs, holders of identification card with a registration number, the fee is 10 Euros. For the discount to be provided, the athletes must have registered by the enrolment deadline, of 10.09.2016.

Trail C: MOLYVOS NIGHT RUN
For the trail of 8km, participation costs 20 Euros for participants and includes the race products for all athletes who register until 10.09.2017. In the race packet for the MOLYVOS NIGHT RUN, a head torch will also be included.
For athletes who register after 10.09.2017 and by the final date of registration 28.09.2017, the race products will be provided to the athletes according to availability and priority will be given depending on the order in which athletes have registered.
For the members of Official Athletic Clubs, holders of identification card with a registration number, the fee is 10 Euros. For the discount to be provided, the athletes must have registered by the enrolment deadline, of 10.09.2016.

Trail D: LESVOSWALK
There are no participation fees. However, in order for participants to receive a registration number, they are required to have registered or to have completed the relative form electronically via Internet by 28.09.2017.
If any athletes wish to UPGRADE their registration packet “LESVOSWALK” to receive the race products that will be given to the athletes of the previous trails, they must deposit 10 euros by 10.09.2017.

Trail E: LESVOSkids
There are no participation fees. However, in order for participants to receive a registration number, they are required to have registered or to have completed the relative form electronically via Internet by 28.09.2017.
For the trail LESVOSkids, or LESVOSWalk, children must be accompanied by a parent and a signed declaration form should be handed in at the LESVOSTRAIL 2017 Secretariat (a copy of the declaration form may be found on the site).
All children who have registered by 10.09.2017 will be given a children’s T-shirt for the race. Following 10.09.2017, remaining T-shirts will be given depending on availability.
In case of postponement or cancellation of the race, the fees will not be reimbursed.
Athletes who register to run on the trail MOLYVOS NIGHT RUN and wish to run any other trail of the LESVOSTRAIL event on the next day may pay only one registration fee for both trails and shall receive only one race packet.

6. WAYS OF PAYMENT
Payment for all trails of the LESVOSTRAIL 2017 which require a participation fee or a package upgrade should be made via a money transfer into one of the following bank accounts with beneficiary “THE MOLYVOS TOURISM ASSOCIATION” (VAT.no.800226525)

Or by CREDIT CARD or DEBIT CARD (further information can be found online on the enrollment form).
Please note that the payment should take place within 10 days after the registration on the electronic monitoring system.
In case of a money transfer in one of the above mentioned bank accounts, the name of the participant and the payment reason should be mentioned. After the payment has been made a notice via e-mail is required.
The participants will subsequently receive a confirmation e-mail for their payment.

7. SERVICES
All participants enrolling in the races will have access to all the services of the event. Each athlete is entitled to a race number, special catering in the stations during the race (LESVOSTRAIL 2017), a certificate of participation and timing. Medical, first aid and rescue services are provided for the LESVOSTRAIL 2017 (a full description may be found in the race packet).
At the finishing point of the trail LESVOSTRAIL, medical services are available when required as well as at each of the stations throughout the race.
Transfer to the finishing point is provided for those participants who might quit or will be excluded from the race. Athletes will be picked up from the determined pick up points (see map of trail). In case the athlete decides to quit the race, he/she must come to the closest pick up point, from where transfer to the finishing point will be provided. Otherwise the organizers of the event cannot be held responsible for the transfer of athletes who quit, even though they will do their best to provide assistance.

8. TIMING
The final placement of the participants is determined by the electronic timing system of the event that has been chosen by the organizers and may not be questioned.
Under no circumstances will double medals for the participants who finish the race together be given. The only placement criterion will be the valid crossing of the finish line.

9. ROUTES-TRAILS
The start and the finish point of the four trails will be in the Location called “ALSYLIO” in MOLYVOS village (as depicted on the map) and the race on Saturday will have start and finish point the historical center of Molyvos village (Molyvos Conference Center).
The start of Saturday’s race MOLYVOS NIGHT RUN will be at 19:00 from the Molyvos Conference Center. For the very first time, a unique night mountain race will take place within the cobblestoned alleys of Molyvos, where runners will be running with headtorches and volunteers, with the aid of torches, will provide support and assistance to the participants. Simultaneously at 19:00, an orientation session will take place in the Molyvos Conference Center for the athletes who will be participating in the races LESVOSTRAIL 40km and LESVOSRUNNING 18km. Upon completion of the MOLYVOS NIGHT RUN and of the information session, a PASTA PARTY will take place in the historical center of Molyvos.

On Sunday morning 09.10.2016, the start for the trail LESVOSTRAIL 40km will be at 07:30. For the LESVOSRUNNING 18km starting time will be at 09:00. For the LESVOSWALK 4km the starting time will be at 10:00. For LESVOSkids 1000m, the starting time will also be at 10:00.
After the end of the races LESVOSTRAIL, LESVOSRUNNING, LESVOSWALK και LESVOSkids, at the finishing point there will be various events as well as food and refreshments for all the athletes.
The trails take place upon a variety of landscapes, hiking routes and forest roads. All routes-trails are signposted either with permanent or temporary signs. The athletes will find the correct trail to follow through the permanent signs which they will find along the trails, as well as from the temporary signposts placed particularly for each event at specific points that will be placed prior to each race in order to facilitate the race.

Furthermore, information will be shared through the social network of the institutions participating in the organization of the event. Changes, additions or explanations will be given through the above mentioned websites and social networks.

10. TIME GATE
The date of the event MOLYVOS NIGHT RUN will be SATURDAY 30.09.2017 at 19:00

The date of the remaining events of LESVOSTRAIL 2017 will be SUNDAY 01.10.2017, starting from 07:30 with the first race for the trail LESVOSTRAIL.
In particular, the trail LESVOSTRAIL, has valid finishing time a maximum of 7 hours. At the elimination point, situated in the catering and control station S5.-VΙGLA, the athletes will be stopped by the judge and their race number will be removed in the case that their running time is over 4 hours. The elimination limits are common for all categories, ages, and gender for this specific trail.
After the estimated time of completion of the race has been reached, the judges at the checkpoints will continue timing the athletes but they will be considered as overdue and the athletes are obliged to hand in their race number once they have reached the checkpoints.
The athletes who wish to continue the race, may do so under their own responsibility, and after having handed in their race number. The organisers are not responsible for the personal safety of the athletes after this point.
Finally, in order for an athlete to be considered as having finished the race validly, he/she must finish the race within the estimated time limits. All athletes, both male and female, who do not meet the official time limits of the race and finish the race “overdue”, shall be presented in the official placement charts as having “quit” the race.

11. RACE NUMBER
Each athlete must wear his/her race number on his/her chest throughout the race and it should be visible at all times. If athletes damage the information contained on the race number (number, logo) or fold it, creating confusion to the members of the checkpoints, they will be disqualified. Should the participants lose their race number, they will also be disqualified.
The race number is provided by the race committee to the athletes, who must personally receive their number by providing a valid identification document.
On Saturday, 30.09.2017, race numbers for all races, as well as the race information packages will be provided to the athletes between 17:00-18:30 at the Molyvos Conference Center.
On Saturday, 20.09.2017, there will be an orientation session presenting the routes at 19:00 for the trails LESVOSTRAIL 40km and LESVOSRUNNING 18km at the Conference Center of Molyvos. Following the orientation session, there will be a pasta party for all subscribed athletes. When participants have completed their subscription they will receive their race numbers and the race package. Participation is compulsory for athletes participating in the LESVOSTRAIL 40km and LESVOSRUNNING 18km.

12. ΜAXIMUM NUMBER OF PARTICIPANTS
The maximum number of participants in each event is determined by the organizers of the race, depending on the total number of participants registered. The organizers have the right to set a maximum limit during the registration period if deemed necessary.

13. MOVEMENT – OVERTAKING
Athletes should run on the trails without forming large groups that prevent other athletes from overtaking. If an athlete receives a sign from another athlete who is overtaking, he/she should stay on the internal side of the slope or trail.

14. ACCOMPANIED ATHLETES
It is forbidden to accompany athletes on the trail. If an athlete wishes to race with a pet, the pet should be kept on a lease at all times and the athlete must follow behind the last athlete of the race. Overtaking should take place only after permission by the athlete in front of him/her is provided.

15. ASSISTANCE
External assistance or technical aid among athletes is forbidden, as well as the use of all mechanic devices. The use of sticks, maps, compasses, GPS and mobile phones is allowed.

16. RUBBISH
Especially for the trail LESVOSTRAIL, athletes are obliged to have their personal number written on all food packages carried along with them, as instructed during the orientation.
It is strictly forbidden to throw garbage along the trail. Rubbish bins will be located at all control and catering /refreshment points so athletes are advised to throw litter in allocated bins. Not doing so may lead to their disqualification.

17. SPECIAL CATERING POINTS
For the runners of the trail LESVOSTRAIL 40km, there will be 3 special catering points for the distribution of water and race food as described in the attached chart.
For the runners of the trail LESVOSRUNNING 18km, there will be 1 special catering point for the distribution of water and race food as described in the attached chart. In all other checking or control points there will be water, energy and isotonic drinks.
For all the other trails of the event, athletes are requested to bring along with them the amount of food and water they consider necessary to complete the race. The organizers will provide at least two checking points where water will be available.

18. COMPULSORY EQUIPMENT
The athletes participating are not obliged by the organizers of the event to be equipped in any particular way.
Εspecially though for the trail LESVOSTRAIL, a small backpack and cell phone is recommended, together with some essential equipment such as sunglasses, caps, flasks, solid food of your choice, in order to cover any needs athletes may have between the refreshment points.
Each athlete is responsible for the items they should carry (cup, hydration flask, bottle, thermos flask, etc.) in order to be supplied with water and/or isotonic drinks/juice.
Water and fluids will be provided by the staff of the refreshment points. In order to refill empty bottles as quickly as possible, the athletes should have flasks with large openings. The athletes may carry two separate items, one for water and one for isotonic drinks.
The use of s-lab sense sets is allowed. Disposal of such sets along the trail or at the refreshment points is under the responsibility of the athlete.
During the orientation for the athletes of the trail LESVOSTRAIL 40km the day before the race, the enrollment package will be provided together with the race number as well as a badge so that the athletes will have the chance to have some items stored by the organizers at the finishing point (Secretariat).

19. CHECK POINTS
There are 11 stations-check points. At 3 of these stations-check points, athletes must be recorded by the judges and from the remaining 8 stations-check points the athletes must be recorded by the Control Point team leaders. Each replenishment station is also a check point. The athletes should keep their race number visible at all times so that it will be easy for the judges to record them.
If an athlete is wearing a windcheater he/she should show the race number upon arrival to the check point. Failure to do so may lead to disqualification. The athletes must pass through each of the check points, otherwise they will be considered disqualified.
The check points, which are all clearly depicted on the map, are also safety points where athletes can request assistance for injuries or other issues.

20. OBJECTIONS
Any objections can be put forward only by the athletes themselves, a maximum of 30 minutes after the end of their race, at a cost of 50 Euros. Each objection should be provided in written form to the Secretariat of the race. The final judgment of the Objections Committee is presented at the latest, immediately prior to the award ceremony. The Objections Committee is composed of the Head of the Judges, the Head of the Organizing Committee and the Head of the check points of the area where the particular issue was raised.

21. SAFETY
Please note that all athletes participate in the race on their own responsibility and after having completed a written statement that is registered in the electronic registrations system. The Organizing committee monitors the trails as much as possible in order to prevent any inconveniences and provides medical assistance to athletes who may need it, with the help of the Medical Team and other volunteers such as Lesvos Rescue Team.
In case the security team or the judges suggest that the athletes should change any route for safety reasons, the athletes are obliged to follow their instructions. Denial to do so will lead to disqualification.
At the Control Points with the relevant signs on them, there will be medical help from specialized medical staff that will handle any issues that the athletes may have. A Doctor in charge will be present, as well as a group of volunteer Doctors of various specializations coordinated by the Doctor in Charge.
If a Doctor decides that the condition of an athlete does not allow him to proceed with the race, the athlete should hand in his/her race number, should not proceed further and should follow the Doctor’s advice.
At all the check points, the athletes may report any medical issues and at some check points a first aid kit for minor injuries is available and first aid is provided.
The organizers of the race have provided a team of safety volunteers and a rescue team that communicate through the Association of Ham Radio Operators of Lesvos with the Medical teams at all check points.

22. CHANGES -ALTERATIONS OF THE TRAILS
The Organizing Committee together with the Judges Committee may decide to change the trails if it is considered that the safety of the athletes is jeopardized in any way.
They may also decide to postpone the beginning, postpone or cancel entirely the event due to bad weather conditions or force majeure.
In all cases any changes-alterations will be communicated through the official event website www.lesvostrail.eu the day before the event or through announcements during the day of the event. Any change considered necessary by the Organizing Committee is not to be questioned.

23. COMPLIANCE
Athletes should comply with the rules mentioned in this document at all times. They should also follow the instructions of the judges. Failure to do so will lead to disqualification. If the judges see athletes who do not comply with the event rules, they shall record them and report them to the athletes involved. Any person authorized by the Organizers can also record and report any transgression of the athletes.

24. PUNISHMENTS
The below mentioned transgressions of the rules lead to disqualification:
Not showing or damaging the race number.
Accepting assistance from persons who are external to the race.
Use of mechanical means of transportation.
Throwing garbage.
Improper behavior towards other athletes.
Not complying with the rules of the judges.
Improper behavior towards the Organizing Committee, judges, volunteers, etc.
Abandoning a fellow athlete in need or omission to inform judges or check point attendants will
lead to disqualification from any future event.
Not registering at a check point.
Use of forbidden substances or drugs.
Denial to be checked up by the Doctor of the event at any time deemed necessary
Quitting the race and omission to report this to the judges or to the check point attendants will
lead to disqualification from any future event.
Taking shortcuts
Any other improper behavior will lead to punishments accordingly or to disqualification from any future participation in any LESVOSTRAIL event.

25. AWARDS
Awards and souvenirs from the race will be announced in the near future following arrangements made by the organizers and the sponsors of the event. They will be given to the participants and the winners of the categories, according to the placement results.
The first three from each category of the trail LESVOSTRAIL 40km and LESVOSRUNNING 18km will be awarded a Trail Cup, a medal and a certificate of participation. A participation medal and a certificate of participation will be given to all the athletes of the above mentioned trails who have finished the race and are deemed valid. The first three athletes of the trail MOLYVOS NIGHT RUN 8km, regardless of category, shall receive a Trail Cup and a medal. The athletes who participated in LESVOSWALK and LESVOSkids will be given a certificate of participation. All athletes who will register on line by 10.09.2017, will be given a T-shirt of the race and a souvenir package. The athletes who participate in the MOLYVOS NIGHT RUN 8km will also be given a head torch. The remaining athletes who register by 28.09.2017 will receive souvenirs according to availability. Children who have registered by 10.09.2017 will be given a children-sized race T-shirt. Following 10.09.2017, remaining children-sized T-shirts will be provided according to availability.

26. COMMERCIALS
With their enrollment in the race, athletes consent to be recorded and photographed during the race and award ceremonies by the organizers, for communication reasons. They are also aware that they might appear in photographs or videos without prior authorization or notice and therefore they cannot claim any remuneration from any published material.

27. PERSONAL DATA
The Organizers will not share the athletes’ personal data and the protection of personal data regulations will be respected according to the law. Respecting the moral obligation to keep personal data secret, all data will be held in a safe area in digital form.
The only information that will be shared is the name and surname of the athletes, the place of residence, the age (for the category classification) and, if provided by the athletes, any picture, personal websites and information on their athletic background.

28. COMMITTEES
The event “LESVOSTRAIL 2017”, has three committees.
The Organizing Committee, responsible for all matters concerning the organization and management such as the system of setting the trail, the routes and timing, the monitoring of the technical requirements of the race and the monitoring system such as: the volunteers teams, the safety, the catering, the side events, the Secretariat of the race, etc. The head of the Organizing Committee will be the Technical Adviser, who will be in charge of the Monitoring, Safety and the Volunteer groups.
The Judges Committee which is the jury with the judges who are responsible for the Athletic-Competitive character of the LESVOSTRAIL 2017, the certification of the timing and the placement of the athletes of all categories (LESVOSTRAIL-LESVOSRUNNING-MOLYVOS NIGHT RUN- LESVOSWALK-LESVOSKIDS), according to the chosen (basic) electronic timing system. The head of the Committee will be the Technical Consultant of this specific committee called the Head Judge.
Τhe Objections Committee composed of the Head Judge, the Head Organizer and the check point attendant(s) where the incident to be examined has been reported.

29. LIABILITY DISCLAIMER
The event organizers have the right to prevent an athlete from completing the race if a decision has been made accordingly by the Doctor of the race. The organizers are not liable for the death, injury or any other health issues of the athletes. By registering for the event, participants guarantee that they are aware of the dangers that may lie on a mountainous course and that they are sufficiently fit and healthy to participate in the event and have been recently checked by a doctor. No health certificates, however, are required and all participants are responsible for their own health conditions. The Committee is not liable for the physical integrity of the athletes who should behave in a responsible manner at all possibly difficult or dangerous points of the trail. The Organizers are not liable for any economical charges for the requirement of external help for an athlete.

30. MODIFICATION OF THE RULES
The organizers hold the right to modify the present rules regarding the procedures of the event without prior notice, should it become necessary. Under no circumstances will these modifications change the character of the event.
